Getting Started
Initial setup, sample data, and daily workflow.
KepoGo is an operations and recordkeeping app for small businesses: cashier, products, stock, purchases, sales invoices, wallets, receivables, payables, reports, attendance, simple payroll, and multi-branch support.
Start with your business profile, branches, wallets, currency format, tax settings if registered, product types, then products. After that, create one Cashier sale and review Dashboard and Reports.
Sample data lets you explore transactions, stock, purchases, sales, receivables, payables, assets, payroll, and reports without entering real data. You can remove sample data from Settings when ready.
Yes. Branches affect stock, wallets, cashier, purchases, sales, storage locations, attendance, and branch-level reporting. Some reports can also show all branches when your permission and plan allow it.
No. Owners/admins can choose a simpler menu mode. A business that only needs quick cashier can focus on Dashboard, Cashier, Products, Transactions, and Settings.
Cashier & Mobile App
Web cashier, KepoGo mobile, devices, printers, and offline mode.
Use Cashier for quick sales without customer details. Use Sales Invoice when you need customer details, due dates, salesman, picking, shipping cost, discount, partial payment, or formal invoice documents.
The mobile cashier is designed offline-first for simple sales after products, wallets, and settings have been cached locally. Offline sales sync when the device is online. If online stock is no longer enough, the pending sale needs review.
Each plan has a cashier device quota. Owners/admins can see active devices, revoke access, mark a device as lost, or hide old devices from Dashboard or Cashier Sessions.
The cashier PIN opens a cashier session and identifies who is working. It is different from the login password. Do not share owner/admin PINs with staff.
The mobile cashier supports compatible Bluetooth receipt printers. Output can vary between printers, so there are settings for receipt preview and extra blank lines at the end.
The mobile app stores local data so it is fast and can work offline. When an owner changes products, prices, wallets, or settings on web, the cashier should refresh to get the latest local data.
Products, Stock & Storage
Product types, labels, photos, barcode, minimum stock, and stock card.
Resale Product is bought to sell again and its stock is tracked. Prepared Product is made from ingredients and direct material cost is usually recorded as Direct COGS. Service has no product stock.
Product type is limited to three main groups. Product labels are smaller filters per type, such as Halal, Vegan, Promo, Chilled, or Best Seller. Labels keep the cashier filter clean.
Minimum stock is used to show products that need restocking on Dashboard and the Low Stock page. From there you can create a Quick Purchase for low products.
When buying stock for products with expiry reminders enabled, you can split quantities into multiple expiry dates. KepoGo helps remind you when products are close to expiry.
Storage keeps simple branch-level locations. Rack is the main location, such as Rack A. Bin is one child level such as A1, A2, A3. This helps picking and product lookup.
Product photos are a paid-plan feature. Images are compressed to small web-friendly files so web and mobile cashier can load faster.
Sales, Purchases & Payments
Invoices, discounts, shipping, receivables, payables, wallets, and split payment.
If an invoice is not fully paid, KepoGo records the remaining amount as Receivable for sales or Payable for purchases. Later payments reduce the remaining amount and update the selected wallet balance.
The purchase stays recorded at the full invoice total and stock increases based on received goods. The wallet only decreases by the initial payment, while the rest becomes Payable.
Yes. Discount reduces invoice total. Sales shipping can become shipping income or customer-paid delivery. Purchase shipping can be recorded as part of purchase cost depending on the workflow used.
Wallets represent where money is held. Cash is physical cash, Bank is a bank account, and E-Wallet is digital balance. Cashier only shows wallets available for the branch and enabled for cashier use.
A reseller is still a customer. If the selected customer is marked as reseller and the product has a reseller price, KepoGo uses that price. Otherwise it uses the regular selling price.
Accounting, Tax & Reports
Cash flow, accrual summary, tax, assets, reconciliation, and accountant export.
KepoGo records simple business actions, then builds Cash Flow and Accrual summaries from transactions, invoices, receivables, payables, stock, assets, and payments. The UI stays simple while reports are more review-friendly.
No. KepoGo helps with recordkeeping and operational reports. For tax, payroll, year-end adjustments, and official filings, verify with an accountant or professional advisor.
Owners/admins can set the tax name, rate, tax registration number, and whether the business is registered for sales tax. Individual products can also be marked non-taxable.
KepoGo does not create official Indonesian Faktur Pajak. DJP NSFP is only stored as a manual reference number from DJP. Business invoices can be created in KepoGo, while official tax invoices must be handled through the government system.
Balance Check helps show whether assets, liabilities, and equity are balanced from internal records. A zero difference is a good signal, but transactions, stock, assets, and bank reconciliation still need review.
The accountant export collects important data such as transactions, invoices, payments, wallets, stock, assets, tax, and summaries so an accountant can review your records more easily.
Users, Attendance & Payroll
Access permissions, employees, shifts, attendance, and wage calculations.
App Users can log in according to permissions. Attendance employees can be tracked for check-in and check-out even when they do not have an app login.
Owner always has full access. Admin can be given broad access. Staff, cashier, salesman, and accountant should only receive the menus they need.
The scan page can be public, but QR tokens can have short expiry and branches can require PIN, QR, or both. This reduces abuse risk.
No. KepoGo payroll helps estimate wages, deductions, employee contributions, employer contributions, and summaries. Actual payment and official filing happen outside KepoGo.
Yes. You can create contributions such as BPJS, CPP, EI, or any custom name with employee and employer percentages, including start and end dates.
Plans, Security & Data
Quotas, vouchers, R2, offline data, and device security.
The Free plan is designed for simple cashier use: one branch, one user, product and monthly transaction limits, and basic features. Paid plans unlock higher quotas and more features.
A tenant enters the voucher code to activate a specific plan and duration based on voucher configuration.
Files such as product photos and wallet QR images are stored in third party storage. The app uses controlled URLs or proxy endpoints so the bucket does not need to be public.
